Tips

9 tips for a Successful Meeting

A good meeting location certainly helps a lot with your meeting, but we have gathered 9 tips for you to make your meeting run as smoothly as possible.

1

Determine Objectives in Advance

Everyone likes efficient meetings. Prepare an agenda in advance and set the timing. If you’re booking a meeting room for half a day with us, it might be wise to stick to a schedule.

2

Inform Participants About the Agenda

Let participants know in advance what will be discussed and what decisions may be made. Some participants benefit from reading up on the topics and thinking about them beforehand.

Pro-tip: Allow participants until a workday after the meeting to provide any additional ideas, comments, or feedback. Especially introverted people sometimes find it difficult to express their points during a meeting.

3

Determine What Material You Need for a Good Presentation

At Meeting Rooms Amsterdam, you will find the following facilities in every meeting room: WiFi, projector, and screen. Need something extra? Contact us to discuss the possibilities.

4

Let Everyone Speak

In every meeting, there are participants who speak less than others. Ensure that the quieter participants also get a chance to express their opinion. Everyone should be able to share their input, and by listening to the quieter participants, they feel respected.

5

Stick to the Agenda

If an agenda item takes up more time than you had planned, it’s wise to move on to the next item. If there is time left at the end, you can return to the item you were stuck on.

6

Make a To-Do List

Good meetings always result in action items. Note these action points, who will carry them out, and when the task should be completed.

7

Make a Clear Division Among Participants

Ensure that everyone gets a chance to speak and that all input is processed. We always advise using a minute-taker or recording the meeting. Make a summary of the meeting that is sent to all participants afterward.

8

Take a break

A short break provides a fresh restart to the meeting. Take a walk outside in the heart of Amsterdam or grab something tasty to eat in Chinatown. Take a break when the meeting is lengthy or when discussions reach a peak. A short interruption also offers participants a chance for reflection.

9

Choose a Meeting Location That Takes Care of You

A little self-promotion in this list doesn’t hurt ;). With us, we have all the facilities in our building to make your meeting a success. Book a meeting room directly!
